You can use DrCloudEHR to capture record Medicare behavioral health supplemental data that is submitted to the Behavioral Health Data System (BHDS).

You capture the supplemental data in three forms after the patient is admitted to a BHDS facility or program. DrCloudEHR validates the required fields in each form on a daily basis. When all of the forms are complete, you can download the supplemental data to an HL7 file and it it Beacon Health Options, which serves as a clearinghouse for BHDS.

Configure Facilities or Programs to Submit Data to BHDS

You must configure a facility or program for to submit data to BHDS.

1. Click the  Practice  tab tab. 
2. Click the  Administrative  tab tab, and then click Facilities or Programs. 
3. Do one of the following:
   • Click  Add   to add a new facility.
   • Click a facility name in the table to edit the facility.
4. Click the BHDS tab.

5. Enter the required information. 
6. Click  Save.

Complete BHDS Forms for a Patient

After you admit a patient to a facility or program configured to use BHDS, you must complete the BHDS forms in DrCloudEHR.

1. Search for the patient.
2. In the Patient Summary Chart page, create a new patient encounter or select an existing encounter to use for the BHDS intake.
3. Expand the Forms Cabinet tab in the left navigation bar, then expand the BHDS tab.
4. Click the tab for each of the following forms in the left navigation bar, and then complete the form:
• Intake Demographics
• DBHR Gain Short Screening Setup
• Adult Psychosocial Assessment

Download Supplemental Data for Submission to BHDS

You search for supplemental data transactions in the Supplemental Data Manager in DrCloudEHR. The application displays the search results in a table.

If one or more required fields in the BHDS forms do not pass the daily validation check, the data transaction is shown as Pending in the resultsPending status. The incomplete fields are displayed in the Action field in the search results table. 

Transactions that are ready for download are indicated by the Ready For Submission status column. Click the Download link in the in the Action column of the table to download an HL7 file containing the supplemental data. 

1. Click the Practice tab in the left navigation bar.

2. Expand the BHDS tab, then click the Supplemental Data Manager tab. 

3. Click Get Latest Supplemental Data Results to update DrCloudEHR with the latest data validation status.

4. Enter search criteria to retrieve the data transactions you need, and then click Search.

5. Click the Download link in the in the Action column for a complete transaction to download the an HL7 file containing the supplemental data. 
6. Use the Beacon portal to submit the file to Beacon.
