DrCloudEHR provides a TeleHealth feature through integration with the Zoom for Healthcare video conferencing platform. Providers can use the TeleHealth feature to meet remotely with patients without having to leave the DrCloudEHR application.

The application automatically creates a Zoom session when you check a patient in for a TeleHealth appointment or create a new encounter, and emails the patient the Zoom meeting details. When you close the encounter, the application adds the "GT" modifier to service codes in the corresponding fee sheet to facilitate billing

Enable TeleHealth

Complete the following steps to enable your organization to use the TeleHealth feature. Note that both the provider and the patient need to install the Zoom application on their respective devices.

Add a TeleHealth Category to Use with Patient Appointments

You must create one or more encounter categories to use with TeleHealth appointments and encounters. When you select the category when you create an appointment, DrCloudEHR creates a Zoom meeting for the appointment.

  1. Click the Practice tab. 
  2. On the left navigation menu, click the Administrative tab, and then select Categories.
  3. Click Add.
  4. Select the TeleHealth checkbox.
  5. Enter a name and description that map to the encounter type.
  6. Select Patient from the Type menu. 
  7. Click the Click to choose the code link to select service codes and modifiers defined in the system to associate with the category. You can select multiple codes.
    If you add codes manually, format codes as type:number-modifier.
    For example: CPT4:90834-HF. Separate each code with a comma.
  8. Select 02: Telehealth from the Place of Service menu.

  9. Specify the typical duration of appointments of this type.
    This data is useful when scheduling appointments in the calendar.
  10. Select the workflow that contains encounter forms typically used for this encounter type.
  11. Select the facility and a list of providers associated with the encounter type.
  12. Optionally indicate how often the encounter repeats.
  13. Optionally select the Include in ClientTell Script checkbox to send appointment reminders for TeleHealth appointments to patients.
  14. Click Save to save the category.

Enable Patients to Receive Email Messages from DrCloudEHR

DrCloudEHR sends email to patients with the details for a TeleHealth meeting. Ensure that patients are able to receive emails sent by the application.

  1. Click the Patients tab, and then search for the patient.
  2. Click the Edit button next to Demographics on the Patient Summary Chart page.
  3. Click the Choices tab under Demographics.
  4. Set the Allow Email property to YES.

Schedule a TeleHealth Session Using Zoom

Select a TeleHealth-enabled category in the Add New Event window when you schedule a TeleHealth appointment event. Selecting the category causes the application to create a Zoom meeting and send an email with the meeting details to both you and the patient. The TeleHealth Appointment icon is also displayed in the appointment event details.

When the you check a patient in for a TeleHealth appointment, a Start TeleHealth Meeting button is displayed in the Telehealth appointment. Click the button to start the Zoom session.

You can also click the Copy Meeting Link button to copy the link and paste it into a Web browser.

When you close the encounter, the application adds the "GT" modifier to service codes in the corresponding fee sheet.

  1. Click the Schedule tab.
  2. Click Add Appointment.
  3. Click the Patient field to open the search dialog, and then search for the patient.
  4. Provide the relevant details. Fields marked with an asterisk are required. 
  5. Select a TeleHealth enabled category from the Category field. 



  6. Optionally specify a password that the patient uses to log in to the Zoom session.

  7. Click Save.

Start a TeleHealth Session Using Zoom

You can start a TeleHealth session from the calendar. A Zoom session starts when you start a session.

  1. Click the Schedule tab.
  2. Click patient appointment in the calendar.
  3. Click the   icon to start the Zoom session. 
  4. Note that you can also click the  icon to copy the Zoom link.
