Use Accounting Periods to Manage Transaction Data

We’ve added support for accounting periods, which are the date ranges during which transactions are performed. In DrCloudEHR, each month of the year constitutes an accounting period. You can create an accounting period for a specific month, or you can create accounting periods for multiple months in a selected year.

Export Billing and Payment Data to Your General Ledger

You can now export DrCloudEHR billing and payment data for a selected accounting period to comma-separated value (.csv) files that you can import into your general ledger system. You can also define the format to use for crosswalk entries, which contain the information needed to export billing and payment data.

Export Appointments to Microsoft Outlook

We’ve added an option to export appointments to an .ics file, which your patients and providers can import into Microsoft Outlook. You can export appointments for a single patient, or you can export all of the appointments in the calendar for a day, a week, or a month.

Edit Published Form Builder Forms

You can now add fields to a published form created using the Form Builder tool. Previously, you could not edit published Form Builder forms.

Accept Debit Card Payments

We’ve added support to allow patients to use a debit card to pay for services.

Reuse Credit Cards

If you accept credit card payments, we’ve added an option to reuse a credit card. You can also add any relevant notes.

Enhanced Workflow Support for Patient Insurance Changes

When a patient changes their insurance coverage, DrCloudEHR notifies you that claims may exist in the system that are pending against the patient’s former insurance. You can trigger the application to update the encounters with the new insurance information and reapply any applicable billing rules. You can then reprocess the claims.

Enhanced Patient Search

You can now enter multiple search terms in the patient search box to refine your queries. For example, you could type “Smith male” in the search box to retrieve a list of male patients with the last name Smith.

Patient Portal Enhancements

We’ve enhanced security and usability in the Patient Portal.

• When a patient attempts to log in to the portal, and another patient with the same name exists in the system, the application securely authenticates the patient before granting access.
• Patients can now view and generate their billing statements from the portal.
• Patients can save their e-signature and password so they can digitally sign forms through the portal.

Include or Exclude Non-billable Codes in Statements

You can now specify whether to include non-billable codes in the Invoice Details page, in the Statement page, and in statements. If you decide to include non-billable codes, they are shown in separate sections in pages and statements.

Expedited Patient Admission Process

You can now skip the applicant approval process and add a patient directly from the Add Applicant page.

Calendar Updates

We’ve modified the Calendar Agenda page to let you:

• Check in one or more patients
• Add notes, such as encounter forms
• Allocate beds
• Print an appointment reminder for individual appointments
• Print the roster for group appointments
• Add or delete an appointment

Report Updates

We’ve made some changes to our reports.

• You can select the accounting period you want to include data for in the Collections/Aging Report.
• The Unapplied Cash Report includes payments received from insurance payers that have not yet been allocated.  You can search for Patient Unapplied or Insurance Unapplied payments.
• You can specify the date range for which you want to generate Psychiatric Rehabilitation Program (PRP) reports.

Fax and Label Improvements

We’ve modified the Fax Center to allow you to add multiple incoming and outgoing fax numbers for a specific facility. You can also attach an incoming fax to a specific patient’s documents.

You can also print labels containing the data you’ve entered in the Form Letters/Consent Forms page accessed through the Mail Merge feature.

New Encounter Forms

We’ve added two new patient encounter forms:

• Individualized Family Service Plan
• Activity Plan / Progress Note

Add Address Details to a User’s Profile

You can now enter a DrCloudEHR user’s address, city, state, county, and zip code data in the Profile tab under Users.
